Special Ceremonies - Checklist

Before Ceremony Person Responsible Due by

Theme - do you want one? What do the girls prefer?

Invitations - are they needed? Buy or make?

Equipment list prepared

Equipment picked up for ceremony

Decorations - existing, buy or make

Refreshments - what is needed, who is providing?

Entertainment - girls provide (how much practice), bring someone in to entertain, involve guests?

Gifts, badges, emblems - what is needed, gift wrapped?

Speeches - who will make, on what, how much time, when?
On the day of the ceremony

Does everyone have something to do?

Is someone greeting the guests and helping them find seats?

Is there a leader available for any child who becomes nervous?

Is everything in place - notes with each presentation, gifts on hand?

Is speaker prepared and in a position where she can easily be heard by everyone?

Is there something available to make sure guests understand what is happening (program or leaders explaining as it unfolds)?

Is there something to occupy younger guests or members if they become restless?
After the Ceremony

Are leaders available to talk to guests and parents?

Have you a team assigned to clean up?

Is it necessary to send thank you's? Who will handle if it is?

Equipment returned after ceremony

Allow time in your next meeting to evaluate with the girls
